Patron records

A patron record is the whole picture of one borrower: who they are, what they have out, what they’ve had before, and what notices they’ve received. This page covers reading that record and working the screen: Patrons list. The list and detail here are the desk-side view in the Library level shell (Library level navigation path: Patrons); changing the records themselves (adding, editing, merging, and managing homerooms) lives in the School level shell, under Managing patrons.

Open a patron from the Library level navigation path: Patrons list. The detail page shows:

  • A header carrying who the patron is: name, type, grade, identifier, email, and homerooms. A teacher’s honorific comes before their name, and a community patron’s field: Affiliation sits beside their identifier. A faculty member assigned to several homerooms shows all of them. The email is a contact detail, so it appears for full-roster roles only; Limited staff get the rest of the header without it.
  • A summary line in the header, stating the patron’s activity in words rather than a row of boxes: message: 3 loans, or message: No loans. A status: 2 overdue badge joins it when something is late, and a status: 1 hold ready badge when a hold is waiting for them. button: Check out items sits beside it and opens a checkout for the patron, joined by button: Send overdue notice whenever something is overdue.
  • tab: Loans, what the patron currently has out, with due dates. Each row has button: Renew, and button: Renew all renews them all (see Renewals); a row’s actions menu holds the notices, the notice history, and, for library managers, row action: Force check-in and row action: Mark lost (see Lost and found).
  • tab: History, completed checkouts, on-time and overdue. (Loan history is for full-roster roles, so Limited staff don’t see the tab: History tab.)
  • tab: Holds, the patron’s active holds. button: Place hold opens the dialog: Place Hold dialog, where you pick the item (see Holds). A row’s actions menu offers row action: View item holds and row action: Cancel hold, plus row action: Check out and row action: View notices once a copy is set aside for the hold.
  • A card: Library Card card beside the tabs, holding what the library issues the patron: their barcode for every patron, and for a student their OPAC PIN and guardian emails. Its button: Download button downloads the patron’s library card as a PDF. The guardian emails are for full-roster roles; a Limited member sees the card without that section rather than an empty one, so “no guardians on file” and “not yours to see” never read the same.

The patron’s field: Barcode is shown in the card: Library Card card. For libraries that sign students in by PIN, a student’s field: OPAC PIN is managed inline there too, so the desk can issue or reset it without leaving the patron page.

  • field: Barcode. Every patron has a barcode used to scan them at the desk. A patron on setting: Use the identifier as the barcode has one value doing both jobs, so the same value appears as the identifier in the header and as the barcode in the card. At checkout, where there’s no card, the header shows it once as field: Identifier and barcode. It’s read-only on this page; to set or change it, for example when reissuing a lost card, an admin uses menu item: Edit library card… on the school roster (see Editing a library card).
  • field: OPAC PIN. A student’s PIN is hidden by default; use the reveal control to read it back when a student is locked out, then hide it again. The menu beside it offers menu item: Set PIN… to type a specific PIN and menu item: Assign random PIN to replace it with a new 4-digit one, saved at once. Only students have a PIN, and the OPAC PIN appears here only at libraries that use PIN sign-in (see Patron sign-in); at libraries that use another sign-in method it isn’t shown at all.

To see the notices Lyra has sent a patron about a loan (overdue and due-soon notices, with timestamps), use row action: View notices in the loan row’s actions menu. A hold with a copy set aside for it has the same action, listing its hold-ready notices. The dialog: Notice History dialog lists one row per notice, or says message: No notices sent yet. if none have been sent. It’s the place to confirm whether a notice actually went out before re-sending one.

Library level navigation path: Patrons lists everyone in the school; patrons are shared, so each library’s list shows the whole school. A few ways to shape it:

Sort by Grade (orders by class year, with name as the tiebreaker) or by Homeroom (orders by homeroom name, name as tiebreaker), among others.

The list shows name, type, grade, homeroom, and a loans count by default. A preferred name is part of the name, so it has no column of its own. The same patron columns the school roster offers are available here too: identifier, barcode, email, honorific, guardian emails, and a student’s PIN, all hidden by default to keep the table readable. Turn any of them on, or the loans count off, from the button: Columns dropdown; drag a column by its handle there to move it. Your choices are remembered, and screen: Check Out‘s patron list keeps its own.

Email and Guardian Emails are contact details, so the button: Columns dropdown offers them to full-roster roles only — a Limited member isn’t offered a column they could never fill. Every other column in the dropdown, credentials included, is offered to all staff.

button: Loans is pinned beside button: Type, button: Grade and button: Homeroom, and narrows the list by what each patron has out from this library. Pick one:

  • menu item: Active: at least one loan.
  • menu item: Overdue, then how many days: at least one loan overdue by more than that many. With 0 it is any overdue loan at all; with 14 a loan due 14 days ago is left out and one due 15 days ago is kept.
  • menu item: Due this week: at least one loan due this week, Sunday through Saturday, including any that went overdue earlier in the week.
  • menu item: No loans out: nothing out at all.

button: Holds, under button: Filter, works the same way over holds at this library: menu item: Ready to pick up, menu item: Waiting for a copy, menu item: Ready or waiting, or menu item: No holds.

Both combine with every other filter, so button: Grade 4th grade with button: Loans overdue by more than 14 days is the 4th graders with a loan more than two weeks late. Overdue is counted on the school’s calendar, and it keeps moving: a saved query or a bookmark of it shows who is late on the day you open it.

Lyra can tell you which patrons it can actually email, important before you rely on notices. Choose from the button: Reachability filter under button: Filter: menu item: Unreachable, menu item: Reachable, or both, each with its count. A patron counts as reachable when at least one address the library’s notice settings actually use has a value: their own email always counts, and a student’s guardian emails, primary teacher, and assistant teachers count only when the library’s card: Student Notices settings turn them on (see Notices). The Library settings notices card also surfaces an unreachable count that links here.

Downloading the roster is a roster action, not a desk one; it lives in the School level shell alongside the other bulk roster outputs and needs a full-roster role. The desk-side Library level navigation path: Patrons list doesn’t export. See Barcodes and cards → Exporting the roster.

  • Managing patrons covers adding, editing, deleting, and merging.
  • Homerooms covers homeroom assignment and management.
  • Barcodes and cards covers assigning barcodes, downloading cards, and exporting the roster.
  • Notices covers the automated notices behind the history dialog.
